AI Transparency Statement

Last updated: October 2025

This AI Transparency Statement explains how High Performing HR Ltd uses artificial intelligence (AI) within our products and services. It is designed to meet the requirements of:

  • EU Artificial Intelligence Act (AI Act)

  • UK GDPR & Data Protection Act 2018

  • Other applicable AI and data protection regulations worldwide

Our aim is to give you clear, accessible, and practical information about:

  • Where and when AI is used in our services

  • How AI interacts with human decision-making

  • The data used by our AI systems

  • The safeguards we use to ensure responsible AI

1. How We Use AI

HPHR uses AI systems to:

  • Provide data-driven insights and recommendations

  • Assist in HR analytics, recruitment matching, and workforce planning

  • Automate repetitive administrative processes

  • Enhance user experience with personalised features

  • Analyse large datasets to support business decision-making

2. Human Oversight

We do not rely solely on AI to make final decisions with legal or significant effects on individuals. Where AI supports decision-making:

  • Humans remain in control and review AI-assisted outputs

  • No final decision is made without human judgment for high-impact scenarios

  • We document oversight procedures for audit purposes

3. Our AI Systems Process

Our AI may process:

  • Information you provide directly (e.g., Business documents, profile details, queries)

  • Usage data from interactions with our platform

  • Anonymised or pseudonymised datasets for training and testing

  • Licensed third-party data sources

We minimise the use of personal data in model development and do not sell personal data to third parties.

4. AI Decision-Making & Limitations

AI models can analyse data, identify patterns, and produce recommendations. However:

  • Outputs are influenced by the data used to train them

  • Models may reflect biases in historical data

  • AI recommendations require human interpretation and validation

We regularly test and monitor our AI for:

  • Accuracy and reliability

  • Bias and fairness issues

  • Security vulnerabilities

5. Your Rights When AI Is Used

If AI is used in a process that affects you, you have the right to:

  • Be informed that AI was used

  • Request an explanation of how AI contributed to a decision

  • Request human review of an AI-assisted decision

  • Contest outcomes based on AI processing

6. High-Risk AI Systems

Where our AI is classified as “high-risk” under the EU AI Act (e.g., recruitment screening tools):

  • We conduct AI Risk Assessments and Data Protection Impact Assessments (DPIAs)

  • We implement bias detection and mitigation measures

  • We maintain detailed technical documentation of the system’s functioning

  • We apply continuous monitoring and periodic re-evaluation of performance
